Payroll software integration

Map HR and time data into payroll, test the receiving result and reconcile exceptions before pay runs.

Payroll software integration works when approved changes reach the right employee, pay period and pay category, and payroll can show what it received. Identify the information that crosses each system boundary, then decide how it moves, who reviews exceptions and what must reconcile before a pay run.

Draw the boundaries

An employer may hold employee details in an HR system, approved hours in attendance software, leave transactions in another tool and pay calculations in payroll. Record which system owns each value. A copied value should not quietly become a second source of truth.

Boundary / Question to settle

HR to payroll
Which approved employment changes affect pay, and from what date?
Attendance or leave to payroll
Which records are final, and how are later corrections identified?
Payroll to reporting
Who checks reported figures and rejected submissions?

Keep payroll inputs distinct from payroll outcomes. Transferring hours or a new salary does not establish the correct payment. The applicable award, agreement and employment arrangements still need to be reflected in payroll configuration and reviewed by someone who understands them.

Keep a trace of the approved input, the payroll result and any correction. A successful import message does not prove that pay is correct. Payroll records should be good enough to show what was received, what was accepted and how an error was corrected.

Employee self-service can create another point of entry into the process. MYOB describes employees submitting leave requests and updating personal information, including tax details, bank accounts and super funds. Decide which system holds the authoritative value and how a submitted request or update becomes an accepted payroll record.

Key Compliance Requirements for Australian Payroll Integration

STP Reporting Requirement
Mandatory via ATO Software Developers Portal
Pay Slip Obligations
Must include gross pay, deductions, net pay, superannuation, and pay period
Underpayment Risk
Requires prompt review if discrepancy found
Employment Income Reporting
To Services Australia for Centrelink purposes

Choose a transfer method around the workflow

An API, scheduled file or controlled manual import may be suitable if the receiving payroll product supports the required data and the employer can manage failures. Ask vendors to demonstrate the proposed route with representative records. Establish who initiates it, what event triggers it, how often it runs, whether it sends a full snapshot or only changes, and what happens if the same item is sent twice.

Confirm how a correction replaces or adjusts an earlier transfer without double counting.

An HR-to-payroll export is separate from Single Touch Payroll (STP) reporting. Check the receiving product's import specification to confirm that it supports the proposed HR export.

Some products combine rosters, timesheets and payroll, with timesheets syncing with pay runs. MYOB describes this capability alongside employees updating hours through its app. Even where a transfer is built in, confirm when the data is ready for pay; a visible sync does not by itself settle that.

Test the whole route

Test the route with representative records before relying on it. The aim is to confirm that an approved source change reaches the correct employee, pay period and pay category, and that the payroll result can be reconciled back to the source.

That test should cover ordinary changes and corrections, not only a clean first import. Assign an owner to each unresolved item.

Where a product calculates PAYG withholding, superannuation or leave entitlements automatically, include those outputs in the assessment. Do not treat an automatic calculation as proof that its inputs and configuration are suitable. MYOB also describes alerts when something needs attention; ask what the team can see and how an alert is handled.

Keep connected services distinct

An employer may use one product for accounting and payroll while another handles operational work. Tall Emu describes MYOB or Xero as keeping the general ledger, financial reporting, payroll, superannuation, BAS, GST, compliance, bank feeds and reconciliation, while its own system handles activities such as quotes, orders, stock, purchasing, manufacturing and warehousing.

Name the owner for each feed and confirm which records cross between the systems.

Where payroll and accounting share a product, clarify which records feed financial reporting and who reviews them. Bank-feed reconciliation and payroll input checks are different controls: completing one does not establish that the other is complete. Confirm how the accountant or bookkeeper's workflow fits the arrangement before relying on a connection.

Set a pay-run control

Before each pay run, compare approved source records with what payroll accepted. Reconcile record counts and key totals by employee and pay category, then investigate differences even if the overall total matches. Review late changes separately. Payroll should know which source version it used and which items remain unresolved.

If a discrepancy suggests an underpayment, review its pay impact promptly. Compare what was due with what was paid under the applicable arrangement, and consider whether payroll configuration or process changes are needed. Tax, super and reporting implications need separate review; changing an interface mapping alone does not complete a pay correction.

For selection and rollout, ask a vendor to show the import specification, rejection report, audit history and correction route for the proposed configuration. Record any manual step and its owner, and retain evidence of its output. Approve the integration for use only when representative cases reconcile and the team can explain how both an ordinary change and an error reach the final payroll record.

For an integrated payroll and accounting arrangement, compare the payroll result with the figures passed to financial reporting. Investigate differences and record the reviewer and outcome.
