Onboarding
Employee onboarding software
Choose employee onboarding software by checking task ownership, Australian documents, equipment, access, induction and system handoffs.
Employee onboarding software helps an employer coordinate the work from an accepted offer through the employee’s first weeks. Follow a starter through documents, payroll preparation, first-day arrangements, equipment, access, induction and follow-up. At each step, check what is done, what is waiting and who must act next.
A completed checklist is only part of onboarding. The employee also needs usable tools, practical instruction and someone to ask when something is unclear.
A starting shortlist can include Rippling, Employment Hero, ELMO HR, ADP Workforce Now and Paycom. Choose among them by testing how each proposed setup handles your own handoffs and employee journey.
Define what the software will coordinate
Map the work done by the employee, manager, HR, payroll, IT and anyone arranging equipment or training. Name the system that owns each resulting record. An onboarding tool may coordinate a task while payroll or an HR system retains the authoritative information.
| Part of onboarding | Outcome to check | Likely owner |
|---|---|---|
| Employment information | Applicable documents reach the employee | HR or another authorised owner |
| Payroll preparation | Required information reaches payroll securely | Payroll |
| First day | The employee knows where to go, when to arrive and whom to meet | Manager |
| Equipment and access | Approved items and permissions are usable when needed | IT or service owner |
| Induction | The employee receives instruction suited to the work | Manager and subject specialists |
| Follow-up | Gaps are reviewed after initial tasks are completed | Manager |
This map does not assume one product performs every step. Look for a visible handoff and an owner where another system does the work.
The market includes HR and hiring platforms, training platforms and tools for onboarding coordination; no single tool necessarily covers every need. Examples named across these categories include Rippling and BambooHR, Trainual and Docebo, and Jira Service Management.
How onboarding software coordinates handoffs between teams
- HR sends offer to onboarding systemTriggers tasks for payroll, IT, and manager
- Payroll receives tax and super detailsConfirms TFN and super fund choice; initiates first payslip
- IT provisions equipment and accessCreates user accounts, issues devices, sets up email and security protocols
- Manager prepares induction planAssigns training, schedules meetings, confirms first-day arrangements
- System tracks handoffs and statusReal-time visibility of completed, pending, or overdue tasks across teams
Coordinate the offer handoff
Keep the final agreed employment terms as the starting point for onboarding. If terms change during offer discussions, update the written contract to reflect the agreement and have both parties sign it before passing the starter’s details into the onboarding process.
Use a clear handoff so the person preparing onboarding tasks works from the agreed terms rather than an earlier draft.
Onboarding workflow: from offer to first day
- Finalise employment termsEnsure signed contract reflects agreed terms; no changes post-signature without update
- Trigger onboarding processPass starter details to onboarding system with full consent and documentation
- Assign responsibilitiesHR, IT, payroll, manager each receive assigned tasks with clear ownership
- Prepare equipment and accessIT provisions devices, logins, and permissions before first day
- Conduct inductionManager-led session covering role, team, safety, culture, and compliance
- Follow-up after week oneReview gaps, check understanding, and gather feedback for improvement
Check Australian requirements
Check the Fair Work Ombudsman’s current guidance on information statements. A generic “documents complete” tick does not identify what was provided.
Confirm how tax and super information reaches the responsible team, and where required employment records are retained. For record-retention decisions, consult the Fair Work Ombudsman’s record-keeping guidance. An onboarding task log alone does not establish that those records exist.
Plan safety induction separately. Safe Work Australia provides guidance on induction and workplace safety training for new workers. A viewed video or ticked box records an action, but consider what further instruction or checking is appropriate for the work involved.
Plan the induction as a programme or a checklist that the employee and manager follow together. Business.gov.au identifies tax and super forms, information about employment conditions, the Fair Work Information Statement and work health and safety information as material that may be provided during induction. Employment conditions information may include a copy of the applicable award or agreement.
The first day is also a chance to introduce the employee to the business, their role and other staff members. Make those introductions part of the planned onboarding journey. Do not assume that completing administrative tasks will orient the employee to their work.
Essential Australian onboarding tasks and documentation
- Fair Work Information StatementMust be provided before or at start of employment; available via Fair Work Ombudsman
- Tax and superannuation detailsEmployee must complete TFN and Super Choice forms; information sent securely to payroll team
- Work health and safety inductionPlanned programme including site-specific training; Safe Work Australia guidance applies
- Employment conditions informationProvide applicable award or agreement; may include pay rates, hours, leave entitlements
- Record-keeping complianceRetention of records per Fair Work guidelines; not satisfied by task completion alone
Compare proposed setups
Give shortlisted suppliers the same synthetic or suitably protected starter cases. Include a routine starter, a casual or fixed term starter where relevant, a changed start date, an absent manager and a rejected access request. Ask to see the modules and integrations included in each proposal.
Among platforms listed for Australian businesses, Rippling is positioned for mid-sized and enterprise businesses seeking scalable onboarding and integrated HR tools; Employment Hero for SMBs seeking compliance and payroll features; ELMO HR for mid-market Fair Work alignment; and ADP Workforce Now for enterprise payroll, compliance and ecosystem breadth. Paycom is positioned for enterprise automation and payroll, but not AU-specific needs.
Use a live demo to test different coordination models. Jira Service Management connects HR, IT and other teams so an onboarding request triggers tasks, approvals and provisioning; Doozy delivers scheduled messages, tasks, training, introductions and feedback surveys in Slack.
Follow the employee and each task owner. Check reminders, changed due dates, visible exceptions, the employee’s latest instructions and the final handoff to HR, payroll or IT. Record each result as shown, requiring configuration, requiring a manual step or unverified. A task screen does not prove that a receiving system accepted information.
Also check who maintains templates, how tasks vary by role or site, who can see overdue critical work, and how task history can be retrieved after a system change. Compare the included modules, integration work, training and support in each quote.
Australian onboarding software comparison: key features and suitability
- RipplingMid-sized to enterprise; scalable onboarding, integrated HR tools, strong compliance and payroll integration
- Employment HeroSMBs; strong compliance and payroll features, tailored for Australian regulations (Fair Work, ATO)
- ELMO HRMid-market; aligns with Fair Work Ombudsman requirements, supports award-based employment conditions
- ADP Workforce NowEnterprise; broad payroll, compliance, and ecosystem integration; strong in data sovereignty and scalability
- PaycomEnterprise automation and payroll focus; lacks AU-specific compliance features
Select for the employee journey
Assess more than task automation when comparing products. Include system reliability, authentication and identity management, the employee journey and accessibility, Australian compliance and data sovereignty, automation capability, integration depth, onboarding capability, commercial transparency and market credibility in the evaluation.
Ask each supplier to demonstrate how employees and task owners use the product, including whether the employee journey is accessible and how authentication and identity management work. Record what is available in the proposed setup and what needs further verification, rather than treating a feature label as proof of a working process.
Check whether the journey includes early follow-up, not just day-one tasks. Doozy’s reusable Track can build a first-month plan, and managers can receive preparation tasks and check-ins; test whether that approach fits your employees and existing systems.
Review access to employee information
Map each personal-information field to its purpose, authorised viewers, destination and retention decision. Check notifications, reports, exports and supplier support access as well as the employee-facing screen.
Ask vendors to demonstrate role-based access, audit trails and any stated Privacy Act alignment. Review the OAIC’s employee-records exemption guidance and have the privacy owner assess how it applies to the proposed vendor arrangement and data flows.
After launch, review unfinished work and employee questions, then use what you learn to improve the onboarding journey.
